JOB SUMMARY:

The Scheduling Department Manager will oversee the day to day and long-term operations of Surgical and Procedural schedules for YSC Main and West. This position will develop strategic key performance indicators (KPI) to ensure efficient use of physician and Operating Room time while also supporting team member growth and development. Working closely with the Clinical Operations Director and the Ambulatory Surgery Centers’ Department Directors, they will develop a strong communication plan and protocol to ensure efficiency and coordination of all departments.

Is specifically responsible for compiling and analyzing the block utilization report for monthly and annual reporting.  Oversees the training of personnel, development of department manuals and policies, the scheduling of surgical and pain procedures as requested from surgeons and/or their office personnel, according to established Surgery Center policies.  Performs a variety of clerical and record-keeping tasks related to the Surgery Center’s patient scheduling and pre-operative testing.  Provides statistical data as requested.

KEY AREAS OF RESPONSIBILITY:

  • Directly oversees and manages the Surgical Scheduling team to ensure efficiency, proper workflow, and team growth and development towards organizational and departmental goals.
  • Develops and frequently monitors individual and team KPIs to establish and maintain efficient and effective surgical schedules.
  • Promotes and develops a positive team-based culture by establishing a foundation of accountability and clarity of roles.
  • Works with Surgical scheduling team to organize quality and safety initiatives and promote a culture of continuous improvement to ensure excellence in patient care.
  • Creates strong and consistent working relationships with all physicians and physicians offices to ensure appropriate scheduling with emphasis on efficiency and flow.
  • Provides knowledge and flow expertise on all of YSC services.
  • Manages employee’s timecards, hours and schedules within approved organizational standards.
  • Conducts periodic quality audits of surgeries scheduled to ensure patient, physician, and key stakeholder satisfaction.
  • Creates and implements new policies.
  • Works with the business office and clinic operations to ensure smooth communication and application of all aspects of the business and improve the patient experience.
  • Demonstrates strong understanding of core surgical scheduling workflows and willingness to take on responsibilities as required.
  • Actively communicates voids in schedules from Surgeon vacations, leaves etc. and reallocates open block time by actively recruiting cases from the same or different specialty.
  • Makes accurate and timely adjustments to the surgery/pain schedule, including add-ons, cancellations, and other changes.  Communicates these changes appropriately, in verbal, written, and on-line forms of communication, per policy.
  • Assist with accurately generating monthly statistics and other reports as requested, and distributes to Chief Executive, Senior Director of Clinical Operations and Director of Finance and Information Systems as appropriate.
  • Participates in the Center’s Quality Improvement Program activities including identification of aspects of care, collection and analysis of data, formulation of recommendations, implementation of an improvement plan, and evaluation of the process.
  • Attends the Surgery Center’s meetings and educational opportunities.
  • Maintains all required certifications.  Performs efficiently in emergency situations.
  • Prioritizes job responsibilities and demonstrates flexibility to meet the needs of the Surgery Center and to facilitate optimum quality of patient care.
  • Maintains patient confidentiality at all times.
  • Other tasks as assigned or needed

 

EDUCATION, EXPERIENCE, LICENSURE/CERTIFICATION REQUIREMENTS:

  • High School diploma or equivalent.
  • Demonstrates clerical skills, including keyboarding a minimum of 45 words/minute and familiarity with software programs such as Microsoft Office.
  • Familiarity with medical terminology preferred or required to complete a course in medical terminology. Ability to perform basic mathematical calculations, including addition, subtraction, multiplication, division and percentages.

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to speak effectively before customers or employees of organization.  Demonstrates good interpersonal communications skills.  Must be able to speak and understand English as well as written communication.

Based on the OSHA guidelines for protection against occupational exposure to Hepatitis and HIV, this position is described as Category I.  This means that this position has exposure to blood and body fluids.  Policies are in place for Universal Precautions identifying exposure risks and appropriate barrier protection.
